WhatsApp is not the operations system.
UK SMEs do not fail because they lack software. They fail because the tools do not share a record. Accounts may already live in Xero or QuickBooks. Jobs still live in a spreadsheet. WhatsApp carries the exceptions.

The current stack
A booking arrives as a voice note. Availability is a colour on a workbook the owner keeps on one laptop. Who owes what lives in someone’s head. The warehouse finds out when the picker is already wrapping a line that should not have left.
That stack is familiar because it works — until it does not. Show week, month-end, a second depot, a crew that is not in the group. Then the reconstruction starts. See custom operations software in the UK — hire weeks, job cards, and van stock on one record.
Hire yards and trade counters
Hire promises kit twice because sales and the racking do not share a calendar. Deposits sit in a notebook. Saturday still finds the clash. Event hire booking is one thread from enquiry to pick list to invoice — including the holds a template never modelled.
Wholesale looks different and fails the same way. Orders in email, stock that disagrees until someone walks the floor, a pick that breaches an account limit because the limit was a rumour. Custom wholesale operations software should stop that pick before the morning is wasted.
What a packaged login does not retire
A rental calendar can lock an item. Xero can hold the ledger. Neither is the week: the exception, the site, the visit, the deposit on a kit. If the branded app is live and the group chat is still the floor, you already pay twice.
The approach is discovery first: we watch how work, stock, and money move — including the WhatsApp workarounds people are embarrassed by — then a written scope. If a packaged product already covers it, we will say so.
What we actually hold
- Stock that can block a pick — kit, site, or van — not a colour on a sheet
- Jobs that cannot drift apart from the warehouse and the invoice
- Money on the same record: deposits, account limits, what is actually earning
- History from the workbook, not a blank database at go-live
- UK-based care, with a named contact, after launch
Not another dashboard. The object the floor already uses.
How we start
A twenty-minute call. Cal.com, email, phone, or WhatsApp. Pricing is not a public list; it depends on the operation. Then a written scope — what is in, what is out, what depends on Xero, QuickBooks, or a payment provider.
If the operation still runs on a spreadsheet and a chat, book a discovery call. We start with the exceptions.
If WhatsApp is still the ops log, book a twenty-minute call. We start with how the floor actually runs.
